The 30-day rule. Your subscription runs for a fixed 12 months. To give every employee the full year, please invite your team and encourage them to activate within the first 30 days of your plan start date. Codes redeemed late still expire on the same end date — the sooner everyone activates, the more value they get. See how it works ↓

Overview

The journey at a glance

Four simple hand-offs take your organisation from a signed subscription to a team that's fully set up on Soult.

01

Soult sets up your plan

We provision your seats and send you, the HR admin, a secure invite. No action needed from you here.

02

You invite employees

Sign in, add your employees' work emails, and send their activation codes in a few clicks.

03

Employees activate

Each employee downloads the app, registers with their personal email and phone, and redeems their code.

04

Loved ones join

On family plans, each employee also gets one code to share with a spouse or parent.

Part 1 · For HR

Get yourself set up

Three short steps to access your organisation's Soult dashboard.

1

Accept your invitation

You'll receive an email inviting you to the Soult Partner Portal. Open it and click Accept invitation. This is a one-time link that sets you up as an HR administrator for your organisation.

Don't see the email? Check your Spam / Junk folder and, if your company uses Microsoft 365 or Google Workspace, your quarantine. Corporate mail filters sometimes hold new-sender mail. Still nothing after 10 minutes? Email support@soultdigital.com.
2

Sign in with a one-time code

Signing in is passwordless. Enter your work email, and Soult emails you a 6-digit code. Type it in to reach your dashboard — nothing to remember, nothing to reset.

3

Meet your dashboard

Your dashboard shows your active plan at a glance — how many seats you have, how many are used, your plan dates, and whether your plan includes a code for each employee's family member. A "Renews in N days" badge counts down to your renewal date so you're never caught out (more on renewals below).

4

Add other HR admins (optional)

Managing a large team, or want a colleague to help? Add them under HR Team. Enter their work email, choose a role, and they'll get their own invitation.

  • HR Admin — can invite employees and manage the HR team.
  • HR Viewer — can see progress, but can't send invites or make changes.
Part 2 · For HR

Invite your employees

This is the main thing you'll do. Add work emails, send codes, and watch your team activate.

5

Add your employees' work emails

Enter each employee's work email — one at a time, or paste a whole list. These are the addresses your team's activation codes will be sent to. Each new email uses one seat from your plan.

Add employees, then send their invites in one batch

Good to know Soult flags obvious typos before sending (for example name@gmial.con), and quietly skips anyone you've already invited — so you can safely re-run a list without using extra seats or sending duplicates.
6

How many codes each employee gets

Your plan is set to one of two options. You can see which on your dashboard next to the order ("1 code/seat" or "2 codes/seat").

1 code / seat

Employee only

Each employee receives a single activation code for their own Soult account.

→ 1 code · for the employee
2 codes / seat

Employee + 1 family member

Each employee receives two independent codes in the same email — one for themselves, and one to share with a single loved one (a spouse or parent).

→ 2 codes · employee + 1 loved one
No extra seat used On a 2-codes plan, the family code is a free perk — it doesn't consume a second seat. One employee still equals one seat.
7

Send invites & track activation

Click Send invites and Soult emails each employee a branded activation email with their code(s) and simple instructions. From then on you can track progress right on your dashboard:

  • Seat utilisation — how many of your seats are invited vs. activated.
  • Per-employee statusInvite sentActivated.
  • Resend — if someone lost their email, re-send without using a new seat.
Nudge your team — and tell them this one thing A short internal note dramatically improves how many employees complete setup. Include one key line: "Register the Soult app with your personal phone and personal email — the contacts that stay with you for life. Soult is yours to keep even after you leave, so don't sign up with your work number or work email. You'll enter your work email only once, at the redeem step."
Why timing matters

The 30-day rule, explained

Your subscription is a fixed 12-month term with one shared end date for everyone in your organisation. A code redeemed on day 90 still expires on the same day as one redeemed on day 1 — so early activation means more value for your people.

Day 0Plan starts
Day 30Grace period ends
Month 12Fixed end date
Activate in the first 30 days Everyone gets close to the full 12 months of Soult. This is the window we recommend you aim for as HR.
Activate late The plan still ends on the same fixed date, so late joiners get fewer months for the same subscription. Nothing breaks — but value is lost.
Your part as HR Complete your side — inviting every employee — within the first 30 days, and nudge your team to redeem promptly. That single push is the difference between your organisation getting a full year of value and only part of it.
Keeping your plan going

Renewing your plan

Soult reminds you well before your plan ends, so there's no scramble and no interruption for your team.

A

Watch the renewal reminder on your dashboard

A live "Renews in N days" badge sits next to your plan and counts down to your renewal date. As it gets closer, Soult highlights it for you:

  • 90 days out — your plan is flagged as approaching renewal, so you can start the conversation with your Soult representative.
  • 30 days out — a clear reminder to confirm your renewal before the end date.
B

Renew before the end date

To renew, reply to your Soult renewal reminder or contact support@soultdigital.com. Renewing keeps your organisation's plan active with no break for your employees — their accounts and everything in them stay exactly as they are.

A short grace window after the end date If a renewal runs slightly late, there's a brief access grace period after your plan's end date before benefits pause — a safety net, not something to rely on. Renew before the end date to guarantee uninterrupted access.
Two different "windows" — don't mix them up The 30-day rule above is at the start of your plan (activate early to get the full year). The grace period here is at the end (a short buffer after the renewal date). They're unrelated.

Part 3 · For Employees

Activate your Soult account

Your employer has given you Soult — your own private space to store what matters and pass it on to the people you love. Here's how to get started in about 3 minutes.

Register with your personal phone & email — the ones that stay with you for life

Soult is yours for life, not just for as long as you're at this job. Sign up with your personal mobile number and personal email — the permanent contacts you'll always have access to. Do not use your work phone or work email to create the account: if you ever change jobs, you could lose access to your vault and everything you've preserved in it.

You'll only enter your work email once — at the redeem step — so Soult can match you to your employer's plan. Your account itself stays tied to your personal contacts, forever.

1 · What you received

An email from Soult with your activation code. If your plan includes family access, you'll see two codes — one for you, one to share with a loved one.

Soult · You've been given access

You've been given access to Soult

Your Company has set up a Soult account for you.

Your activation code
SD-7K4Q-9XTP

Family member code
SD-2M8V-6RJH

The second code is for one family member — a spouse or a parent. Share it only with them.

Your activation email (family plans show two codes)

Important — use your personal contacts You must register with your personal email and personal mobile number, not your work ones. Soult is a lifelong account you keep even after you leave this employer — a work email or work phone you lose access to would lock you out of your vault.

2 · Set up the app

Download Soult, create your account with your personal phone number and personal email (not your work ones — see above), then enter your code. Your Soult account is yours — it stays with you for life, even if you change jobs.

3Redeem code

Which email do I enter? Register the app with your personal phone and email. When redeeming, enter the work email your code was sent to — that's how Soult matches you to your plan.

3 · Share with a loved one (family plans only)

If you received a second Family member code, forward it to one person — your spouse or a parent. They install Soult, create their own account with their own phone and email, and enter the family code the same way you did.

Each code works once Every code is single-use and tied to one person. Once it's redeemed, that's it — so only share your family code with the one person you intend it for, and keep your own code private.

Need help? Contact Soult directly

You don't have to go through your HR team. If anything goes wrong — your code won't work, you didn't get the email, or you have a question about the app — you can raise a ticket with Soult directly at support@soultdigital.com or from Help & Support inside the app. We'll get back to you.

Troubleshooting

Common questions

An employee didn't receive their activation email

Ask them to check Spam / Junk first. If your company uses Microsoft 365 or Google Workspace, also check the quarantine — corporate filters sometimes hold mail from new senders.

From your dashboard you can Resend the invite (this does not use a new seat). If it still doesn't arrive, confirm the work email is spelled correctly, then contact support@soultdigital.com.

"This code has already been used"

Each code works exactly once and is tied to one person. If an employee sees this, their code was likely already redeemed — on their own device, or by someone they forwarded it to. Contact support and we'll help sort it out.

Can an employee use their work email to sign into the app?

They should register the app with their personal phone and email. The work email is only entered at the redeem step, to match them to your plan. This keeps their Soult account personal and portable — it stays theirs if they leave the company.

What happens if we invite more people than we have seats?

Soult stops at your seat limit and tells you how many remain. If you need more seats, contact your Soult representative or support@soultdigital.com.

Someone activated late — did they lose their subscription?

No — they're fully active. But because the plan has one fixed end date for everyone, a late start means fewer remaining months. That's exactly why we recommend activating within the first 30 days.

When does our plan renew, and how will we know?

Your dashboard shows a live "Renews in N days" countdown to your renewal date. Soult flags the plan as it approaches — around 90 days and again at 30 days — so you have plenty of time to confirm. To renew, reply to the reminder or email support@soultdigital.com. There's also a short access grace period after the end date, but it's best to renew before then to avoid any interruption for your team.

Can employees contact Soult support themselves?

Yes. Employees can raise a ticket directly with Soult at support@soultdigital.com or from Help & Support in the app — they don't need to route everything through HR. You'll still see activation status on your dashboard.

Does HR see what employees store in their vault?

No. Soult is private to each person. As HR you can only see activation status — whether a code has been redeemed — never anyone's personal contents.
