HR Administrator Guide
Everything you need to set up your team on Soult — from your first sign-in to getting every employee (and their loved ones) activated on time.
The 30-day rule. Your subscription runs for a fixed 12 months. To give every employee the full year, please invite your team and encourage them to activate within the first 30 days of your plan start date. Codes redeemed late still expire on the same end date — the sooner everyone activates, the more value they get. See how it works ↓
Four simple hand-offs take your organisation from a signed subscription to a team that's fully set up on Soult.
We provision your seats and send you, the HR admin, a secure invite. No action needed from you here.
Sign in, add your employees' work emails, and send their activation codes in a few clicks.
Each employee downloads the app, registers with their personal email and phone, and redeems their code.
On family plans, each employee also gets one code to share with a spouse or parent.
Soult → HR Administrator → Employee → One loved one (on family plans)
Three short steps to access your organisation's Soult dashboard.
You'll receive an email inviting you to the Soult Partner Portal. Open it and click Accept invitation. This is a one-time link that sets you up as an HR administrator for your organisation.
Signing in is passwordless. Enter your work email, and Soult emails you a 6-digit code. Type it in to reach your dashboard — nothing to remember, nothing to reset.
Check your email
Enter the code sent to you@yourcompany.com
The sign-in screen at partners.soultdigital.com
Your dashboard shows your active plan at a glance — how many seats you have, how many are used, your plan dates, and whether your plan includes a code for each employee's family member. A "Renews in N days" badge counts down to your renewal date so you're never caught out (more on renewals below).
Your HR dashboard — plan, seats, and activation progress
Managing a large team, or want a colleague to help? Add them under HR Team. Enter their work email, choose a role, and they'll get their own invitation.
This is the main thing you'll do. Add work emails, send codes, and watch your team activate.
Enter each employee's work email — one at a time, or paste a whole list. These are the addresses your team's activation codes will be sent to. Each new email uses one seat from your plan.
Add employees, then send their invites in one batch
Your plan is set to one of two options. You can see which on your dashboard next to the order ("1 code/seat" or "2 codes/seat").
Each employee receives a single activation code for their own Soult account.
→ 1 code · for the employeeEach employee receives two independent codes in the same email — one for themselves, and one to share with a single loved one (a spouse or parent).
→ 2 codes · employee + 1 loved oneClick Send invites and Soult emails each employee a branded activation email with their code(s) and simple instructions. From then on you can track progress right on your dashboard:
Your subscription is a fixed 12-month term with one shared end date for everyone in your organisation. A code redeemed on day 90 still expires on the same day as one redeemed on day 1 — so early activation means more value for your people.
Soult reminds you well before your plan ends, so there's no scramble and no interruption for your team.
A live "Renews in N days" badge sits next to your plan and counts down to your renewal date. As it gets closer, Soult highlights it for you:
To renew, reply to your Soult renewal reminder or contact support@soultdigital.com. Renewing keeps your organisation's plan active with no break for your employees — their accounts and everything in them stay exactly as they are.
✂ Forward this part to your employees
Your employer has given you Soult — your own private space to store what matters and pass it on to the people you love. Here's how to get started in about 3 minutes.
Soult is yours for life, not just for as long as you're at this job. Sign up with your
personal mobile number and personal email — the permanent contacts you'll
always have access to. Do not use your work phone or work email to create
the account: if you ever change jobs, you could lose access to your vault and everything you've
preserved in it.
You'll only enter your work email once — at the redeem step — so Soult
can match you to your employer's plan. Your account itself stays tied to your personal contacts,
forever.
An email from Soult with your activation code. If your plan includes family access, you'll see two codes — one for you, one to share with a loved one.
Your Company has set up a Soult account for you.
The second code is for one family member — a spouse or a parent. Share it only with them.
Your activation email (family plans show two codes)
Download Soult, create your account with your personal phone number and personal email (not your work ones — see above), then enter your code. Your Soult account is yours — it stays with you for life, even if you change jobs.

2Verify & set MPIN
3Redeem code
If you received a second Family member code, forward it to one person — your spouse or a parent. They install Soult, create their own account with their own phone and email, and enter the family code the same way you did.
You don't have to go through your HR team. If anything goes wrong — your code won't work, you didn't get the email, or you have a question about the app — you can raise a ticket with Soult directly at support@soultdigital.com or from Help & Support inside the app. We'll get back to you.
Ask them to check Spam / Junk first. If your company uses Microsoft 365 or Google Workspace, also check the quarantine — corporate filters sometimes hold mail from new senders.
From your dashboard you can Resend the invite (this does not use a new seat). If it still doesn't arrive, confirm the work email is spelled correctly, then contact support@soultdigital.com.
Each code works exactly once and is tied to one person. If an employee sees this, their code was likely already redeemed — on their own device, or by someone they forwarded it to. Contact support and we'll help sort it out.
They should register the app with their personal phone and email. The work email is only entered at the redeem step, to match them to your plan. This keeps their Soult account personal and portable — it stays theirs if they leave the company.
Soult stops at your seat limit and tells you how many remain. If you need more seats, contact your Soult representative or support@soultdigital.com.
No — they're fully active. But because the plan has one fixed end date for everyone, a late start means fewer remaining months. That's exactly why we recommend activating within the first 30 days.
Your dashboard shows a live "Renews in N days" countdown to your renewal date. Soult flags the plan as it approaches — around 90 days and again at 30 days — so you have plenty of time to confirm. To renew, reply to the reminder or email support@soultdigital.com. There's also a short access grace period after the end date, but it's best to renew before then to avoid any interruption for your team.
Yes. Employees can raise a ticket directly with Soult at support@soultdigital.com or from Help & Support in the app — they don't need to route everything through HR. You'll still see activation status on your dashboard.
No. Soult is private to each person. As HR you can only see activation status — whether a code has been redeemed — never anyone's personal contents.
